But making calls over the internet requires more than just a good connection. A complete internet telephony setup depends on several hardware and software components working together to enable voice communication across networks.

Understanding the core components

Hardware IP phones
VoIP desk phones look similar to traditional office phones but connect to the internet rather than phone lines. These devices include built-in features like caller ID displays, programmable buttons for functions like hold and transfer, and often support Power over Ethernet, which means they receive both power and network connectivity through a single cable. Business-grade VoIP phones offer advanced features like multiple line appearances and integration with corporate directories.
Softphones and PC programs
Softphones are software applications that transform computers, smartphones, or tablets into internet telephones. A softphone requires a modern PC with a microphone and speaker or headset, along with reliable high-speed internet connectivity. Popular softphone applications support standard telephony features like do not disturb, mute, call transfer, and hold, while also offering additional online capabilities such as presence indication and video calling.
To use a softphone, you typically need an account with an internet telephony service provider and the software can be installed in minutes, requiring only an internet connection and audio hardware. Many softphones utilize the Session Initiation Protocol (SIP), an open standard that supports various audio and video codecs, making them compatible with most VoIP service providers.
Network infrastructure equipment
Reliable network equipment forms the backbone of any internet telephony system.
Modems and routers
Modems connect you to your internet service provider and send and receive digital signals in analog format that transmit over phone lines or wireless connections. Routers work alongside modems to allow multiple devices to connect to the same network and direct data packets to the correct destination based on IP addresses.
Business-grade routers include advanced features like VLAN support, firewall capabilities, and traffic-shaping tools that manage data flow between VoIP hardware and external networks while providing security. For internet telephony, routers should support Quality of Service settings that prioritize voice traffic to maintain call quality even when the network is busy.

Network switches connect multiple devices within your local network and often provide Power over Ethernet capabilities. PoE switches eliminate the need for separate power adapters by delivering both network connectivity and electrical power through a single Ethernet cable, simplifying installation and reducing cable clutter.

Gateways serve as critical bridges between different types of telephone networks.
VoIP gateways
A VoIP gateway converts signals between traditional telephone systems and internet telephony networks. These devices convert analog telephone signals into VoIP data packets and can handle tens or even hundreds of simultaneous calls. This allows organizations to maintain existing analog telephone infrastructure while gaining the benefits of internet telephony.
VoIP gateways link SIP-based phone networks to various other networks including landline PSTN, mobile GSM, and ISDN systems. When a gateway connects to the local area network, it becomes part of the system by obtaining an IP address, enabling users to dial and receive calls to traditional phone numbers through the integrated system.
Analog telephone adapters
Analog Telephone Adapters (ATAs) serve as transition tools for organizations moving from traditional phone systems to internet telephony. An ATA provides dial tone, ringing generator, DC power, and caller ID data to telephones connected through a modular jack. The digital interface typically consists of an Ethernet port to connect to an IP network, and the ATA communicates with VoIP servers using protocols such as H.323, SIP, MGCP, or IAX.
Central infrastructure components
Beyond user equipment and gateways, internet telephony systems require several central components to function properly.
Directory services
Directory services handle address mapping, translating human-readable names or phone numbers into IP addresses that route calls to the correct destination. These services maintain databases of user accounts, phone numbers, and their corresponding network locations, similar to how DNS servers translate domain names into IP addresses for websites.
Authentication servers
Authentication systems verify user identities before allowing access to telephony services. Authentication is a cornerstone of SIP security, requiring authenticated usernames, valid Uniform Resource Identifiers, and secured passwords. When configuring gateways, administrators must specify authentication IDs and passwords that the system uses to verify authorized devices and users.
Billing and management servers
Billing servers track call usage and generate records for invoicing purposes. These systems monitor call duration, destinations, and other metrics needed for accurate billing. Management servers provide administrative interfaces for configuring the system, monitoring performance, and troubleshooting issues. Modern gateways include integrated web servers with user-friendly graphical interfaces that allow administrators to configure networks, create user accounts, set up signaling protocols, and monitor gateway operations.
Internet telephony service providers
While technically not equipment, service providers are essential for connecting to the broader telephone network. ITSPs provide VoIP SIP-based connections that facilitate communication between an organization’s system and external PSTN and mobile phone networks. They also offer Direct Inward Dialing numbers, which are actual phone numbers associated with specific geographic areas that can be routed to your internet telephony system.
Additional equipment considerations
Headsets and audio devices
VoIP headsets with built-in microphones enable hands-free calling and are particularly useful for contact centers and remote workers. Headsets keep hands free during conversations and many include noise-canceling features to improve call quality in busy environments.
Bandwidth and internet connection
A stable internet connection is fundamental for internet telephony. Most modern internet plans easily meet the basic requirements for VoIP communication, typically needing around 100 kbps per line. However, the actual bandwidth required varies based on the number of simultaneous calls and the audio codecs being used.
Security equipment
Firewalls and security systems protect internet telephony infrastructure from unauthorized access and attacks. SIP-capable firewalls can block non-SIP traffic, examine message contents for malware, and guard against various spoofing methods. Organizations should also implement encryption through SIPS or VPNs, use strong passwords, and configure dedicated voice VLANs to separate telephone traffic from general network traffic.
Choosing the right equipment mix
The specific equipment requirements vary significantly based on organization size and needs. Small businesses might need only basic infrastructure with softphones, while large enterprises require sophisticated systems with multiple gateways, redundant servers, and advanced security equipment.
For a minimal setup, you need an internet connection with adequate bandwidth, a modem and router, and either hardware IP phones or computers with softphone software. Organizations with existing traditional phone equipment will also need gateways or ATAs to bridge the old and new systems. Central services like directory, authentication, and billing are typically provided by your internet telephony service provider, though larger organizations may choose to host these systems internally.
The key is understanding that internet telephony requires both endpoint devices for users to make calls and infrastructure components that handle routing, authentication, and connectivity. Each piece of equipment plays a specific role in creating a complete communication system that delivers reliable voice calls over internet connections.
